PrintIn3D ("we", "us", "our") owns and operates the PrintIn3D website (printin3d.ie, including 3dprinting.printin3d.ie and 3dscanning.printin3d.ie). We are the data controller for your personal data.

This Privacy Policy explains what personal data we collect, why we collect it, who we share it with, how long we keep it and what your rights are. Please read it before using our website or services. If you have any questions, email us at info@printin3d.ie.

1. Personal data we collect

Information you give us

When you request a quote, place an order, contact us or use our forms, we collect:

your name, email address and phone number
your delivery address and country (or that you will collect your order from us)
details of your order: materials, colours, quantities, print settings, notes and prices
the files you upload for printing: 3D model files (for example STL, 3MF, STEP or OBJ), photos or drawings for design work, and links to models
messages you send us by email or WhatsApp

Information collected automatically

When you visit our website, we automatically collect certain information about your device. This includes your web browser, IP address, time zone, and information stored through cookies or similar technologies. We may also collect which pages you view, which websites or search terms referred you to us, and how you interact with the website. We call this "Device Information".

We use your IP address to pre-select your country on our quote form. This lookup happens on our own server and your IP address is not sent to a third party for this.

Payment information

Payments are processed by Stripe. We never see or store your full card details. We receive confirmation of your payment and basic details such as the amount, currency and the last four digits of your card.

2. Why we use your data, and our legal basis

To give you a quote and fulfil your order: analysing your files, printing, packing, delivering or arranging collection, and sending you order updates. Legal basis: performance of a contract with you, or steps you asked us to take before entering one.
To provide customer support, including returns, refunds and reprints. Legal basis: performance of a contract.
To keep accounting and tax records. Legal basis: legal obligation.
To send a reminder about a quote you started but did not finish. Legal basis: our legitimate interest in helping you complete a request you began. You can ask us to stop at any time.
To keep our website secure, prevent fraud and abuse, and understand and improve how the site is used. Legal basis: our legitimate interests.
For analytics and marketing tools and our newsletter. Legal basis: your consent, which you can withdraw at any time.

You can visit our website without telling us who you are. To request a quote, place an order or contact us, we need some personal data such as your email, name, address and phone number. If you choose not to provide it, we may not be able to complete your request. If you are unsure what information is required, email us at info@printin3d.ie.

3. Files you upload

We use the files you upload only to:

calculate your quote (our processing server analyses the model to estimate print time and material),
prepare and print your order, and
handle any reprint, return or refund under our Returns & Refunds Policy.

We do not sell, share, publish or reuse your files or designs. We do not show your prints in our marketing unless you have given us permission.

Your files are stored on our web server and processed on our own processing server. Neither is publicly accessible. Temporary working copies on the processing server are deleted automatically within 14 days. For design and model-repair work, our team may work on copies of your files in our private cloud storage (Microsoft OneDrive), which only our team can access.

For some orders, such as flexible TPU prints, we may take photos of your print and send them to you for approval. These photos are stored and deleted in the same way as your files.

4. How long we keep your files

We delete uploaded files, and any photos or production files we made from them, automatically:

Orders collected from us, or delivered within Ireland: 45 days after we dispatch your order or you collect it.
Orders delivered outside Ireland: 60 days after we dispatch your order.
Paid orders that are never collected: 180 days after payment.
Quotes that were not paid: 45 days after the quote was last updated or sent to you.
3D scan files we create for you: 45 days after we send them. Your download link works for 30 days, so please save your files once you receive them.

These periods are longer than our 30-day returns window, so we can still reprint your item if something goes wrong. Once the files for an unpaid quote are deleted, the quote expires and its payment link stops working. To order again, just upload your files again.

Copies held in our hosting provider's automatic backups are overwritten on a rolling basis and are removed within 30 days of deletion.

If you want your files deleted sooner, email info@printin3d.ie with your order or quote number. We will delete them once your order has been completed.

5. How long we keep other information

Order records (your name, contact and delivery details, what you ordered and what you paid): kept for 6 years, as required for tax and accounting purposes under Irish law.
Quote records without an order (file names, sizes, settings and prices, but not the files themselves): kept so we can answer questions about past quotes. You can ask us to delete them at any time.
Emails and messages: kept for as long as needed to deal with your enquiry and any follow-up.
Quote form progress cookie: kept on your device for 7 days so you can return and finish your quote.
Analytics data: kept by the analytics providers below according to their own retention settings.

6. Who we share your data with

We only share your personal data with service providers who help us run our business, and only as much as they need:

Stripe – payment processing.
Hostinger – website hosting, our processing server and email.
DPD Ireland and An Post – delivery of your order. They receive your name, delivery address, phone number and email address.
Customs and tax authorities, through our carriers, for orders shipped outside the EU (for example to the UK, Iceland or the USA). A customs declaration includes your name, address and a description and value of the goods.
WhatsApp (Meta) – if you contact us on WhatsApp, or ask us to send your quote there.
Our remote team member – a member of our team based in India helps with customer support, design work and administration. They access only the data needed for each task, work under a written confidentiality and data processing agreement, and use accounts controlled by PrintIn3D.
Anthropic (Claude) – an AI assistant we use to help draft replies, prepare quotes and prepare 3D design files. We share only the information a task needs.
Microsoft (OneDrive) – secure cloud storage for design and production files.
Google Analytics 4, Microsoft Clarity, Trustpilot and Mailchimp – see section 7 below. These are only used with your consent where consent is required.

We will also disclose information if required or permitted by law. See "Legal disclosure" below.

Some of these providers, and our remote team member, may process your data outside the European Economic Area, including in the United Kingdom, the United States, Canada and India. Where this happens, we rely on safeguards recognised under EU law, such as the EU Standard Contractual Clauses or the EU–US Data Privacy Framework. 7. Cookies, analytics and third-party tools

We use cookies and similar technologies for essential site functions, for example to save your progress on the quote form for 7 days so you can finish it later.

We may also use non-essential cookies, such as analytics, to understand how visitors use our website and to improve performance and the user experience.

Where required, non-essential tools are only enabled after you give consent through our cookie notice. You can accept or reject non-essential cookies. If you previously accepted and want to change your choice, clear your browser's cookies and local storage for this website, then revisit the site to make a new selection.

Google Analytics 4 (GA4)

We use Google Analytics 4 to measure website traffic and understand how visitors use our pages (for example, which pages are visited, how long visitors stay and how they navigate the site). GA4 may collect information such as device and browser details, approximate location and interaction data, and may use cookies or similar identifiers. Where required, we only enable GA4 after you consent through our cookie notice.

Microsoft Clarity (analytics and session recordings)

We use Microsoft Clarity to understand how visitors use our website and to improve the user experience. Clarity may collect information about your device and browser, your IP address and how you interact with our pages (for example clicks, scrolling and page navigation). Clarity may also create heatmaps and session recordings. We use this data to improve our website, troubleshoot issues and understand which pages are most useful. Where required, we only enable Clarity after you consent through our cookie notice.

Trustpilot

We may use Trustpilot tools and widgets to display reviews and collect feedback. These tools may load third-party scripts and may use cookies or similar technologies. Where required, we only enable them after you consent through our cookie notice.

Mailchimp

If you subscribe to our newsletter, we use Mailchimp to manage our email communications. Mailchimp tools may load third-party scripts and may use cookies or similar technologies. Where required, we only enable them after you consent through our cookie notice. You can unsubscribe at any time using the link in any newsletter.

8. Information security

We keep your information on servers in a controlled, secure environment, protected from unauthorised access, use or disclosure. Uploaded files are stored in protected folders that cannot be opened directly from the internet. Only our authorised staff can access order details and files, after signing in with a password and device verification. Preview images we include in your quote email are shared through a private link that expires after 30 days. We delete files on the schedule described above, so we hold as little as possible.

No data transmission over the internet or a wireless network can be guaranteed to be 100% secure. If a data breach affects your personal data and is likely to put you at risk, we will tell you and the Data Protection Commission as required by law.

9. Your rights

Under the General Data Protection Regulation (GDPR), you have the right to:

be informed about how we use your personal data
access the personal data we hold about you
have inaccurate data corrected
have your data erased
restrict how we use your data
data portability
object to processing based on our legitimate interests, including quote reminders
withdraw your consent at any time, where we rely on consent
rights in relation to automated decision-making and profiling (we do not make decisions about you using automated decision-making or profiling)

If you are unhappy with how we handle your data, you have the right to complain to the Irish Data Protection Commission (www.dataprotection.ie). We would appreciate the chance to resolve your concern first, so please contact us.

10. Links to other websites

Our website may contain links to websites that we do not own or control. We are not responsible for those websites or their privacy practices. We encourage you to read the privacy statement of each website that collects personal information.

11. Legal disclosure

We will disclose information we collect, use or receive if required or permitted by law, for example to comply with a subpoena or similar legal process. We will also disclose it when we believe in good faith that disclosure is necessary to protect our rights or your safety or the safety of others, to investigate fraud, or to respond to a government request.

12. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top shows when it was last changed. We will tell you about significant changes, for example by email or a notice on our website.
